Located in Mackay, this organisation is a community-based support service dedicated to assisting women and children. They offer a wide range of services, including counselling, crisis intervention, legal support, and advocacy, all aimed at promoting safety, empowerment, and well-being.

In line with anticipated growth and transformation, they are now seeking an Executive Assistant to provide high quality support to the Chief Executive Officer and 2 Senior Managers across the Leadership team. This position will be integral in managing a diverse range of stakeholder relationships internally and externally to the organisation with professionalism and initiative. You will be critical in maintaining organisation and compliance across a range of tasks including diary management, travel, drafting documents and ensuring deadlines are being met.  

Your responsibilities will include:

  • Managing complex schedules, arranging meetings and coordinating the executive team's calendars
  • Manage diaries, book appointments, and make travel arrangements.
  • Organise meetings, presentations, and functions.
  • Draft letters, briefs, presentations, and other correspondence.
  • Assist in implementing organisational changes and managing emails.
  • Maintaining and updating office systems, procedures and records
  • Providing exceptional customer service to both internal and external stakeholders
  • Assisting with special projects and events as required
  • Acting as the first point of contact for the executive team
Your strong interpersonal and communication skills will enable you to build and maintain relationships with diverse groups and work as an effective team member in a supportive manner. To be successful in this role you will have:
  • Previous experience as an Executive Assistant, ideally supporting Executives or Senior Managers
  • Strong organisational and time-management skills, with the ability to prioritise effectively
  • Excellent written and verbal communication skills
  • A high level of professionalism, discretion, and attention to detail
  • Proficiency in Microsoft Office Suite and other relevant systems
  • A positive and proactive approach to problem-solving and teamwork

This position will require you to have or the ability to acquire a National Police Certificate, Current Drivers Licence and Working with Children Check (Blue Card).
